Working with SharePoint Calendars

  • The Calendar list in SharePoint Team Site is a great way for a team, department or a company as a whole to list and manage their events. You can create as many calendar lists as you want on a site and use them for a variety of purposes. This video shows all different aspects of a calendar list – creating the list, events, managing list views, moving events, deploying to a page and more are all covered.

    What would be nice is to have a little more of an in-depth training video on this. I noticed there was a place in the UI, while looking at the calendar, where it says, “Calendars in View” and there was one listed. Is it possible to see more than one calendar in the same view? If so, is it also possible to see more than one calendar from different site collections in the same view? So.. if I have a calendar in site A, and I have another calendar in site B, is it possible to show both calendars while I’m either in site A or B? In MOSS 2007, it is not possible to see a list from another site collection even if the two sites have identical permissions and one is even inheriting permissions from the other.. the only way to see a list across sites is to use an iframe web part to see it. I’m wondering if MS has improved the functionality of the calendar list. Also.. what about the forms icon that’s in the ribbon UI while in the Calendar? You didn’t talk about that and it would be nice to see a custom input form created for different types of events. I’m sure this has to be possible because it is in MOSS 07… Anyways, this is a good video as an overview for someone who has no knowledge about how the out of the box calendar functions, but I would like to see something a little more in depth. Last example: In MOSS 07 you can connect a SharePoint calendar to Outlook. However, if you’ve created a custom input form in SharePoint for your calendar, wouldn’t it be great if you could use that input form from Outlook to create calendar items on the SharePoint calendar?

    All good points Tom. Thanks. I will definitely consider these thoughts when the time comes to dig deeper in the Calendar functionality.

    Also, have you checked out the video on ‘Roll up calendars from multiple sites’. That might help some of your requirements.

    Asif,

    This is under the End Users role which at the most would have only Contribute rights ( Memebers group) and not be able to create any new calendars. Am I missing something here?

    Good point Pat. You are right. The calendar creation is only for Design or Full Control permission levels. Thanks.
